RESPONSIBILITIES

SUMMARY

The position reports to the Benefits Senior Manager in Jersey City, NJ; and serves as the liaison between E*TRADE Benefits Department, E*TRADE employees, and our benefit carriers. The core responsibilities include maintaining employee eligibility, performing quality assurance tasks, reconciling vendor data, overseeing vendor invoice processing, resolving benefit plan issues escalated by employees, assisting internal team members and other departments with employee inquiries, and engaging in other special projects.

The role includes facilitating day-to-day administration of the E*TRADE Financial employee benefits programs – including, but not limited to: leave of absence administration, short-term and long-term disability, FMLA, group health, 401(k) retirement plan, life and accident insurance, flexible spending plan, Americans with Disabilities accommodation process, voluntary benefits, and a working knowledge in corporate wellness programs.

Additionally, this position will provide support and analysis to the Payroll team on an ad-hoc, project based need.

RESPONSIBILITIES

Benefits Administration

  • Work with Senior Manager to administer the daily aspects of E*TRADE’s benefit programs, including but not limited to: the maintenance of self-insured medical and dental plans, LOA/disability, life insurance, FMLA, flexible spending accounts, accommodations process and COBRA. Responsibilities include: overseeing funding and reconciling of vendor invoices, verifying eligibility counts, calculating costs/benefit levels, drafting employee letters, and tracking responses/authorizations/premium billings and benefit periods.
  • Assist in development of E*TRADE’s corporate wellness program – employee communications, vendor coordination, webpage development, employee engagement and incentive programs, preparation, and reporting/monitoring.
  • Assist in the implementation of any benefit modifications and staff manual updates.
  • Gather data for Measuring Success project from key vendors.
  • Gather/provide Third Party Oversite (TPO) related metrics from key vendors.
  • Organize annual benefit fairs, flu shot events and health clinics at E*TRADE facilities.
  • Monitor employee terminations and enrollments and ensure accurate/timely monthly invoicing of all benefit vendors to payroll specialist for cost allocation and then to accounts payable for payment.

Benefit Plan Compliance

  • Assist in preparing and maintaining detailed benefit documentation, such as annual benefit guides, ADP ‘KBISS’ material and employee communications.
  • Create and maintain individual employee and general benefits files as needed. Log and track the placement of file contents, monitoring access to files. Ensure key document retention compliance requirements are met as per government regulations, Sarbanes –Oxley requirements, and internal retention guidelines.
  • Maintain knowledge of industry trends, legislation and compliance requirements affecting employee benefit programs including ERISA, COBRA, FMLA, ADA, Section 125, Medicare, Social Security and DOL requirements.

Retirement Plan Administration

  • Assist in managing the administration of employee Qualified retirement plans. Act as liaison with retirement plan record keeper/trustee, external auditors and legal counsel. Maintain files of correspondence, reports, and forms.
  • Assist with the communication to active and non-active participants about plan provisions as required.
  • Partner with Payroll to ensure proper deduction and funding of all employee and employer retirement plan contributions.

Staff Communication

  • Provide day-to-day customer service to employees.
  • Counsel employees clearly and effectively address questions regarding benefit programs and policies. Assist with the development and maintenance of written materials to describe benefits
  • Maintain and update the benefit section on company intranet as needed, ensuring that the information posted is accurate and current.
REQUIREMENTS

Basic

  • Minimum of 2 – 5 years experience in Benefits Analyst/Benefits Administrator capacity; Leave of absence administration highly desired.
  • Bachelor’s degree is preferred or equivalent experience.

Preferred

  • Familiarity with pertinent federal and state regulations, filing and compliance requirements both adopted and pending affecting employee benefit programs including ERISA, COBRA, FMLA, HIPAA, ADA, Section 125, Medicare, Social Security and DOL requirements.
  • Experience coordinating the annual Benefits open enrollment process.
  • Experience with on-line enrollment applications and benefit management products.
  • Demonstrated customer service skills – highly responsive to internal clients and their needs.
  • Strong communication skills; ability to work in groups and individually to meet goals; ability to understand organizational structure and work through administrative systems.
  • Proficiency in Microsoft Office Suite, including Word, Access, Project, and Outlook is required (mail merge, sorting/filtering, formulas, etc.)
  • Very strong skills and experience with Excel, including graphing, pivot tables and lookup functions.
